Our client, a private property investment company based in central London, is looking for a Service Charge Accounts Manager to work in a broad and varied role. The core purpose of the role is to prepare the commercial service charge budgets and year-end reconciliations but the successful candidate will also be involved in managing property insurance and maintaining lease information on the property management system. This is a fantastic opportunity for someone with strong service charge experience looking to work as part of a high-profile Finance team in a diverse role.

Description

Service Charges

  • Coordinate the process and work alongside the in-house property managers to prepare the annual commercial service charge budgets and year-end reconciliations. This will include setting the timetable for each and monitoring progress against the timetable.
  • Prepare the year-end service charge reconciliation. This will include reviewing expenditure, accruing additional expenditure where required and highlighting issues for the Property Managers.
  • Prepare periodic cash reconciliations and maintain reserve accounts.
  • Calculate and bill void costs to the Landlord quarterly.
  • Calculate and bill the service charge management fees quarterly.

 Property Information

  • Enter and maintain property and lease information on the property management system including tenancy details, rent and service charges, rent reviews, and break dates.

 Insurance

  • Manage the annual renewal process for the property, terrorism, and plant and machinery insurances. This will involve preparing information, sharing this with the insurance broker and responding to queries.
  • Calculate the allocation of these costs to individual properties and tenants and bill these charges.
  • Respond to queries from tenants on annual premiums.
  • Coordinate with the Property Managers to provide information for insurance claims and follow claims through to conclusion.
  • Provide quarterly property information to the insurers.
  • Prepare a monthly report for the Directors providing an update on each insurance claim.
  • Coordinate the fire insurance valuation process periodically. 

Skills

  • Previous experience preparing service charge budgets and reconciliations.
  • Knowledge and understanding of the RICs guidelines for commercial service charges.
  • Experience using a property management system and accounting software, ideally Tramps.
  • Understanding of accounting and experience in posting journals. 

Skills Required

  • A team player and able to work collaboratively as part of a finance team and with non-finance individuals.
  • An ability to be able to prioritise tasks, be organised and have good time management skills. To set and meet deadlines.
  • To have strong attention to detail and able to problem solve.
  • Ability to learn new systems and processes.
  • Competent using Excel.
  • A good communicator at all levels.
  • To be able to identify process improvements and make suggestions for how to implement them.
